From quotations to billing Assetminder makes Job Management a simple process for Fleet Owners and Workshops alike!

The System is extremely flexible, parts can be invoiced in a number of ways:

Profit Margin Bands, Blanket Mark-Ups, Fixed Price, Customer Discount and Discount Codes.

Assetminder's easy to use job card processing handles all of your requirements, regardless of whether you are billing internally or externally. Our Software covers the entire spectrum from stock management, purchase ordering, labour collection, quotations right through to billing, providing a very detailed and accurate view over the asset costs and job card history.

As soon as a job is started and booked in, all costs are tracked through the job card – including time, parts and other costs. As soon as a job is complete and signed off, a pro-forma invoice is automatically generated and, once approved, is issued.

Invoices can also be split, where required.

Use of the “Vehicle Health Check” ensures that tasks can be bundled together, rather than unnecessarily taking vehicles back into the workshop.

Job Card Estimates

Create the perfect estimates using all the feature rich elements in use in a normal job card. By converting the estimate to a full working job card it provides the user with a link to the locked estimate for reference purposes.

Splitting a Job Card

We’ve all been there, just at the point when your ready to sign off the job card, the customer calls requesting you split the job in two. This is not a problem with Assetminder as any element of instructions, labour or parts can be split from the original job, spawning a second or third job card that enables you to invoice a different billing client. This feature is particularly useful when billing damage to a third party or insurance company.

 

Credit Notes

Although we don’t like to do them, they are necessary. There’s a full section on credit notes available, when the time comes to credit a customer, linking directly back to the original job card.

 

Paperless Billing

SWOTS

Standard Workshop Operational Times, is a function within Assetminder, that allows the user to build preconfigured instructions and labour times. These can be a single line item or a consolidation of single line items, that have the ability to set target times for certain tasks. In time this operation provides the data to begin benchmarking labour target hours against actual labour clocked times.

Once you begin building your own SWOTS it becomes easier to replicate a lot of tasks.

 

Spare Parts/ Barcoding

We make adding parts to a job easy by integration with our Integrated Barcode Scanning Feature. Once your spare parts are barcoded its just a matter of scanning the barcode label, using the mobile device. Similar to other functions within the system this will then synchronize with the Web App, in turn managing your stock.

Barcode labels can be generated by Assetminder, or by using the manufacturer's label.

Purchase Ordering

A Purchase Order can be raised directly from the job card to suppliers for all manner of goods and services. The job card cannot be closed off until all Purchase Orders are closed, ensuring nothing is missed when it comes to billing

 

Labour

It's as easy as ticking a box to record labour to a job. There’s not a lot to say other than its as simple as that to record one or multiple technicians' hours to individual job cards. All time clockings are then synchronised to the Web App, building your labour costs in real time.

Assetminder is a Cloud-Based Solution, all data is stored in one centralised location, giving staff the ability to access information from anywhere, at any time.
